Managing Registrations

This guide explains how to configure registration settings, review registration requests, approve or reject attendees, and manage your member list.


Registration Settings

Go to Manage → Settings → Registration to configure how registration works for your conference.

Open / Close Registration

The Registration Open toggle forces registration open regardless of the deadline. Turn it off to enforce the deadline or to manually close registration at any time.
Deadline: Set a date and time after which registration is automatically closed. If no deadline is set and the toggle is off, registration defaults to open.

Terms & Conditions

Paste your conference terms and conditions in the text field. Registrants will be required to agree before submitting. Leave blank if no T&C is needed.

Custom Registration Form

Add extra questions to collect beyond the standard fields (name, affiliation, phone, country). Click Add Field and choose a field type:

Drag fields to reorder them. Mark fields as Required to block submission without an answer.

Registration Packages

Packages define what registrants can sign up for and at what price. Go to Manage → Settings → Packages to create and edit packages.

Key package settings:

Viewing the Members List

Go to Manage → Members to see all registrations. The list has four tabs:

Each row shows: member number, name and affiliation, email, role, selected package, status badge, and join date.

Click a member's name to open their Registration Detail sheet.

Reviewing a Registration

The Registration Detail sheet has three tabs:

Profile — standard fields from their registration: name, affiliation, email, country, phone, and salutation. Any rejection or block notes are shown here.
Responses — answers to your custom form fields. File uploads show a "View File" button that opens a secure preview.
Invoice — payment details if the package is paid (visible to users with payment permissions).

Approving a Registration

From the Pending Approval tab, find the member and click Approve.
  • Free package → status moves to Active immediately. The member receives an approval notification and can access the conference dashboard.
  • Paid package → status moves to Registered (awaiting payment). An invoice is generated and sent to the member.

Rejecting a Registration

Click Reject next to a pending member. A dialog appears where you can optionally write a reason — this note is shown to the member on the conference page.
The member's status changes to Rejected. If registration is still open, they can re-apply and their details will be pre-filled.

Other Member Actions

From the member row or detail sheet:

Bulk Actions

Select multiple members using the checkboxes, then use the bulk action toolbar to:

  • Change status for all selected members at once
  • Delete selected members

Exporting the Member List

Click Export above the table to download a CSV file. If rows are selected, only those rows are exported. Otherwise, all filtered rows are exported (respects the current tab and any active search).
Columns exported: #, Name, Email, Affiliation, Role, Package, Status, Joined.

The file uses UTF-8 encoding and opens correctly in Excel.
