Publishing the Program

Go to Manage → Program to build the public session schedule. Requires the MANAGE_SETTINGS permission.

Program Builder Overview

The program builder shows sessions organized by conference day. Each day of the conference is a tab (e.g. "Day 1 · Fri, Jun 5"). An Unscheduled tab collects sessions not yet assigned to a specific day.

Each tab shows a count pill of sessions on that day.

Top-right controls:
  • Publish All (N) — publishes all unpublished sessions at once
  • Add Session — creates a new session
Sessions within a day are sorted by start time. In the Unscheduled tab, sessions can be drag-and-drop reordered.

Adding a Session

Click Add Session (top right). Fill in the session form:

TypeSession type — Paper, Keynote, Workshop, Panel, Break, etc.
DayWhich conference day. Leave blank to create an unscheduled session.
Start time / End timeRequired when a day is selected. In the conference's timezone.
Track nameOptional track label (e.g. "AI Track")
Room / LocationOptional. E.g. "Aula Barat", "Room 101"
DescriptionOptional. Shown on the public program.
Requires Check-InEnable check-in tracking for this session.
CapacityOptional. Maximum number of attendees.
Click Save Session. The session appears as a card on the builder.

Session Cards

Each session is a collapsible card showing the type badge, title, time range, room, and item count.

Card controls:

  • Edit — opens the session form pre-filled
  • Publish / Unpublished toggle — publish or unpublish this session individually
  • Delete — with confirmation dialog
  • Drag handle (Unscheduled tab only) — drag to reorder within the tab

Expand a session card to see its presentations.


Adding Presentations to a Session

  1. Expand a session card.
  2. Click Add Presentations (or the "+" button inside the card).
  3. A searchable popover opens showing accepted submissions not yet scheduled in any session. Filter by topic or status if needed.
  4. Check the submissions to add, then click Add Selected.
To add a manual entry (e.g. an invited keynote not in the submission system), enter the title and presenter free-form.

Items within a session can be drag-and-drop reordered. Remove an item using the × button that appears on hover.


Publishing Sessions

Sessions are unpublished by default — visible in the builder but not on the public program page.
  • Publish one session: use the Publish toggle on the session card.
  • Publish all at once: click Publish All (N) (top right). A confirmation dialog shows how many sessions will be published.
After publishing, the public program page at /conferences/[slug]/program/ updates immediately.

Author names are always visible on the published program, regardless of blind review settings.
