1. Acceptance of Terms

By accessing or using ConfyChair (“we”, “us”, “our”, or “the Platform”), you agree to be bound by these Terms of Service and our Privacy Policy. If you represent an institution or organization, you confirm that you have the authority to accept these Terms on its behalf.

2. Description of Services

ConfyChair provides a cloud-based platform that enables institutions, organizers, and participants to manage academic and professional conferences—from abstract submission and peer review to registration, scheduling, and online payments. Our role is to provide technology and infrastructure that facilitates these activities. We do not act as the owner, organizer, or sponsor of any individual conference.

3. Organizer and Participant Responsibilities

Organizer Responsibilities

• Organizers are fully responsible for their conferences, including conference details, pricing, deadlines, and communication with participants.
• Organizers must comply with all applicable laws, including data protection, intellectual property, and financial regulations.
• Organizers must ensure all content submitted (e.g., Call for Papers, schedules, or conference media) does not infringe the rights of others.

Participant Responsibilities

• Participants must review all conference information before making payments or submissions.
• For manual payments made directly to the Organizer, ConfyChair does not hold or guarantee the funds.
• Participants agree to follow the Organizer’s policies, including refund and submission terms defined in each conference page.

4. Payment Terms

ConfyChair provides two payment options:

• Manual Payment: Participants pay the Organizer directly (e.g., bank transfer). ConfyChair only facilitates the recording of payment status but is not involved in fund handling or dispute resolution.
• Gateway Payment: Participants pay through ConfyChair’s integrated payment system. ConfyChair acts as a payment facilitator, collecting payments on behalf of the Organizer, and disbursing them according to the Organizer’s balance and withdrawal settings.

All fees paid to ConfyChair for conference services (by Organizers) or transaction processing are non-refundable, except under conditions stated in our Refund Policy.

5. User Accounts

Users are required to provide accurate, complete, and current information when creating an account. You are responsible for maintaining the confidentiality of your login credentials and all activities under your account.

6. User Content

Users retain ownership of their submitted content (e.g., abstracts, papers, media). By using ConfyChair, you grant us a limited, non-exclusive license to store, process, and display your content solely for the operation of the platform and related conference activities. We reserve the right to remove content that violates laws, infringes copyrights, or breaches these Terms.

7. Intellectual Property

All software, interface designs, graphics, and content developed by ConfyChair are the intellectual property of PT Berlian Otomasi Teknologi and are protected by applicable intellectual property laws. You may not copy, modify, or distribute any part of the platform without prior written consent.

8. Prohibited Activities

You agree not to:

• Use the platform for fraudulent, illegal, or harmful purposes.
• Impersonate another person or misrepresent your affiliation.
• Attempt to gain unauthorized access to our servers or data.
• Use automated tools (bots, scrapers) to extract data from ConfyChair.

Violation of these terms may result in immediate suspension or termination of your account.

9. Platform Availability & Maintenance

We strive to ensure continuous platform availability, but temporary downtime may occur for maintenance, updates, or unforeseen issues. Such interruptions are not considered a breach of this agreement.

10. Limitation of Liability

ConfyChair is not responsible for:

• Any dispute, refund issue, or communication breakdown between Organizers and Participants.
• Any indirect or consequential losses, such as data loss, reputation damage, or missed deadlines.

To the maximum extent permitted by law, our total liability is limited to the total amount paid to ConfyChair for the specific service that caused the issue.

11. Indemnification

You agree to indemnify and hold harmless PT Berlian Otomasi Teknologi, its directors, and employees from any claim, loss, or damage resulting from your violation of these Terms or misuse of the platform.

12. Governing Law

These Terms are governed by the laws of the Republic of Indonesia. Any disputes shall be resolved exclusively in the District Court of Bandung, Indonesia.

13. Changes to Terms

We may modify these Terms from time to time to reflect changes in features, legal obligations, or business practices. When significant updates are made, we will notify users through the platform. Continued use after such changes constitutes acceptance.
